Terms and Conditions
THE MARDEN HOUSE CENTRE. New Road, Calne, Wiltshire SN11 0JJ.
By paying a Deposit you expressly agree to all the Terms and Conditions of Hire set out below. Please note that there is neither a caretaker nor staff member on site so often someone will come to The Marden House Centre specially to let you in. We do ask you to respect the opening time you have chosen.
FIRE EXITS. You MUST keep the fire exits, which are clearly marked, free of obstruction at all times.
CANDLES, NIGHT LITES or ANY OTHER NAKED FLAME are expressly prohibited from use within the building.
CAPACITY. The Main Hall has a capacity of 100 people at any one time (including servers and assistants) and the balcony 25 people. Those limits MUST NOT be exceeded. Please note that THERE IS NO ACCESS TO THE MILL RACE unless you have specifically booked it.
TELEPHONE. There is an Emergency Only telephone on site. The Hirer is recommended to make sure a mobile phone, with signal, is available for use in an emergency.
CLEARING UP. Any furniture moved must be returned to location as on entry. Please clear up and leave the building as you would wish to find it. If you require a cleaner, we can provide one at an appropriate rate. Chairs must be tidily stacked as found, no more than 4 chairs high. Please use the supplied chair mover or lift them, but DO NOT DRAG THE CHAIRS as this will damage the floor and you will be charged for repair to such damage.
Please ensure that the premises are not left unlocked and unattended at any time particularly paying attention to ensuring all windows are closed, and all lights are switched off.
ALCOHOL. The Marden House Centre is not licensed for the sale of alcohol. Please discuss with the Bookings Secretary your requirement to obtain a Temporary Event Notice from the Local Authority, which would allow you to sell alcohol.
BEHAVIOUR. You are responsible for maintaining good order during the hire period and for ensuring that no nuisance is caused to residents in the vicinity of the premises. Please ensure that any children present are supervised and protected at all times.
DISCO, BAND. Amplifier Music Equipment must only be plugged into the sockets marked accordingly. Disco or Band music must not be played beyond 11.00pm. Amplifiers etc. must only be plugged into the designated sockets. Sound levels above 110 dB(A) are considered excessive. Disco or Band music must not be played in the garden. We have a sound system that accepts Bluetooth connection.
ELECTRICAL ITEMS. Only Electrical Appliances that have a valid Portable Appliance Test (PAT) certificate may be used anywhere within the building or garden. There are 2 RCD sockets outside of the building for the use of outside appliances. Extension leads must not be used to power outside appliances unless plugged into the RCD sockets.
DEPOSITS. A 20% booking deposit is required on the confirmation of booking, with the balance payable 7 days before the event. Your deposit will be returned within 48 hours usually once banking details are provided to the Treasurer.
DAMAGE REPORTING. The Hirer shall report any damage and breakages as soon as practicable to either: the President, the Secretary, the Treasurer, or the Bookings Secretary.
DAMAGE/BREACH of TERMS. For all hirers, a damage deposit is payable, which is refundable in full provided there is no problem such as damage, or extra cleaning required and or Breach of the “Terms and Conditions” of hire.
CANCELLATION. 75% of the full cost will be refunded if you give notice to the Bookings Secretary 14 days or more before the event. The Marden House Centre may cancel any agreement to hire by giving notice of cancellation and returning the full fee paid by the Hirer who shall have no further claim on the The Marden House Centre.
ACCESS. The Trustees of The Marden House Centre must be allowed access to the premises at all times including areas under hire and during events.
DECORATIONS. You must respect the rooms you hire and not cause damage to the fabric of the building. Nails, pins, sellotape, staples, blue-tak or any other method of attaching any decorations or posters to the painted, papered or stone walls or the painted doors MUST NOT be used. Extra care must be taken in attaching items to the wooden banisters, balcony, or picture rails.
STAGE SCENERY. Any scenery brought onto the premises must be fire proof/proofed, insured and safe for use.
BOUNCY CASTLES. Bouncy Castles used at Marden House need to have been PAT tested, and be fit and safe for purpose. They must be installed by a person who is insured and a professional. Their use needs to be supervised AT ALL TIMES by the suitable adult providing the equipment. At no time can children be left to use the equipment unsupervised. The Trustees can in no way take any responsibility for damage caused to Bouncy Castles nor injury sustained by anyone using the equipment.
KITCHEN. Hire of the kitchen includes the use of crockery and cutlery for about 70 people. Hirers should bring with them chopping boards, tea towels, washing up liquid etc.
GARDEN. Children must be supervised by an adult in person at all times whilst in the garden.
PARKING. There is limited parking at the rear of the building, but there is public parking in the Car Park on the other side of the main road. Please do not park in Patford Street or alongside the building (unloading only is permitted) – for Health & Safety reasons this space must always be kept free for Emergency Vehicles.
CENTRAL HEATING. The central heating system is pre-set and you must not tamper with nor adjust it.
The building must be securely locked with windows closed and keys returned as instructed. Please empty the bins (putting no more than 2 bags into the provided large council waste disposal bin) and remove all other bags and debris and detritus off site.
LATE EXIT. A charge of £20 will be made for each half hour or part half hour that the hirer exceeds the finishing time booked. The Premises must be fully vacated and locked by 11.30pm. Saturdays 00.00 (midnight).
LIABILITY So far as is permitted by English Law, the Marden House Centre and Trustees accept no responsibility for injury, accident, or death to any person or for damage, loss or theft of any property belonging to the Hirer or to other persons attending the premises.
DISRUPTION, CURTAILMENT, CANCELLATION. The Marden House Centre will not be liable for any disruption in services or other occurrence that causes your event to be terminated before the end of your booking and Hirers must make sure they insure their event just in case of cancellation.
LOSS OF KEYS. In the event of loss of keys, the hirer will be liable for the cost of key replacement and possible lock replacement.
INSURANCE. The hirer shall be liable for any damage caused to the premises, furniture and fittings arising during the hire period. Bookings relating to Group Activities under instruction (eg Yoga, Keep Fit) involving group members or the public (not private bookings), and large-scale events, must on request supply a copy of the Insurance for that particular activity.
LICENCES. It is up to hirers to ensure they have all the necessary licences and permits for their activities.
ACCIDENTS. Should any person suffer an accident or injury during the course of the Hire, full details must be entered into the Accident Book displayed in the Kitchen. Please ensure that you have your own First Aid Kit.
HEALTH & SAFETY. A Health & safety Policy and Procedures document is available on request, and the terms and conditions contained therein form part of the Conditions of Hire.
SAFEGUARDING. The Trustees have a written Safeguarding Policy, but Hirers must ensure they have their own appropriate Safeguarding Policy if necessary.
DATA PROTECTION. The Trustees have a Data Protection policy in place and undertake never to provide to any Third-Party details provided to them. Additionally, only Trustees who have a need to know of certain elements of data are given authority to see/process such data.

Any changes to your booking should be notified to the Bookings Secretary at least 24 hours prior to the event. Please do not rely on a message left on an answering machine. Written notification must be given where one or more sessions of a series of bookings is cancelled. Sub-letting or other transfer of the booking is not permitted and agreed numbers for an event must not be exceeded.
